Mail Archiving – Why?

Mail Archiving, what’s the point?, when you have all your messages stored in PST files (also known as personal folders).

Well first of all PST files are notoriously prone to corruption and recovering can be a nightmare. Mail archiving software comes in a number of flavours, an appliance based system. A software based solution where you install the archive software on one of your own machines therefore you’re providing your own hardware.

Lastly there’s a hosted archive solution – the service is provided over the internet and your mails get encrypted then archived off site in a secure high UK data Centre. Each mail that passes either into, through or out of gets archived including any attachments and some companies offer forensic stamps to prove the mail hasn’t been tampered with. There are a couple of ways of accessing the e-mails through outlook (or other client software) or via a web browser.

We have had a lot of clients that have needed to search for e-mails from months ago relating to a legal dispute and they either spent days looking or couldn’t retrieve the e-mails they wanted in the end.

Because every email is archived into a database it allows for less reliance on PST(personal folders) and can greatly improve the speed of the e-mail server because staff don’t need thousands of mails in their mailbox.

In todays climate of legal wrangling between staff or other businesses and the reliance of e-mails to get you out of situation it cannot be underestimated how this solution will be as important as e-mail is to businesses today.
